Job description

As part of our HR team, you are a key point of contact for employees, ensuring the smooth and efficient running of the administration of our company. The position combines HR administration, payroll coordination, office management, prevention and safety, as well as executive support to the management.

What you’ll do 

This is a 50% position for a 5-month period (starting date: October 2026), based in Louvain-la-Neuve. You may also occasionally be required to visit our other offices in Leuven and Brussels.

  • HR Administration: Manage employee administration, including drafting contracts, tracking leave and absences, reviewing timesheets and overseeing employee benefits and related administrative matters.

  • Subsidies & Finance: Manage grants, training subsidies and  administrative procedures, while supporting the finance team with various administrative and reporting requests.

  • Office Management: Manage offices and suppliers, stocks, facilities, equipment and day-to-day workplace operations, including safety and prevention follow up.

  • Executive Support: Provide hands-on administrative and organizational support to the HR team and the management, including meeting coordination, business travel, follow-up and ad hoc requests.

Job requirements

Who you are 

  • You have a Bachelor’s degree in related field or equivalent by experience.

  • You ideally have at least 3 years of experience in a similar role within HR Administration, Office Management or Executive Assistance. 

  • You are familiar with Microsoft Office and administrative tools.

  • You are able to handle confidential and sensitive information with discretion.

  • You have strong administrative and organizational skills.

  • You are a native French speaker with a good professional level of English.

  • You are rigorous and highly attentive to detail, well organized and able to manage multiple tasks and deadlines simultaneously. 

  • You are autonomous, with a strong sense of ownership and responsibility.

  • You are proactive, able to identify issues, find solutions and take action rather than wait for instructions. You have a practical and solution-oriented mindset, with a strong ability to get things done.

Additionally, these are not mandatory but are considered assets:

  • Knowledge of Dutch.

  • Experience working with a social secretariat.
